Organizing your notes with AI

The AI groups the comments and sticky notes you wrote across many papers by topic and turns them into a research theme. It writes only the headings; your notes stay as you wrote them, and each one leads back to its place in the paper.

Organize your notes

  1. Open Across papers.

  2. In the collection menu, choose what to organize: leave it on All papers, or narrow it to a collection (the collections inside it are included).
  3. Press Organize with AI, beside the collection menu.
  4. The Organize notes with AI screen shows the scope and the number of Your notes. Press Organize.
  5. When it is done, your notes are listed under headings. Press a note to open the paper at that place.
  6. Press Save as a research theme. Open research themes then opens it.
  • Organize with AI is there when the scope holds at least 3 notes of your own and the search field is empty.
  • Organizing takes a little while. You can cancel it on the way.
  • If the result does not fit, Organize again has another go.

What the AI writes, and what it does not

  • Zotero editionIt works on the notes you wrote yourself: comments on highlights, sticky notes and text boxes. A highlight without a comment is the author's words, not yours, so it is left out.
  • Mendeley editionIt works on the notes you wrote yourself: sticky notes and notes. A highlight without a note is the author's words, not yours, so it is left out.
  • The AI writes only the headings (the names of the topics). It does not change a single character of your notes.
  • Every note keeps its paper's title and its page.
  • A note that fits no heading is not dropped: it goes under Notes under no heading.
  • The headings are written in the language most of your notes are in.

The headings are the AI's suggestion. A note can end up under the wrong one, so move things around after saving.

The saved research theme

Saving makes a research theme named "Notes from (the scope), organized". It works like any other theme:

The theme begins with one line saying that the headings are the AI's and naming the model that wrote them.

Where it runs

Organize with AI runs on this device, with the same model as translation. Your notes are not sent anywhere.

  • If the model is not there yet, you can download it from the organizing screen (about 2.5 GB, once). It is the model translation uses.
  • On a device that cannot run the model, you can use your own API key. Your notes then go to the provider you choose. Before you start, Rectoly shows what is sent and asks for your agreement.
